RSC Bulletin: March 2023

March 2023

Hello and Great Ready to Welcome Spring!

  • Important Dates!
    • DRS is off on Monday, March 6th and will not be available via phone or email.
    • First Day of Spring, Monday, March 20th! 🎕
    • Mandatory RSC Meeting on Monday, March 27th at 10:00am at Laurel Ridge (45 Edgemont Lane, Wolcott)
    • Reports are Due:  Wednesday, March 29th by 12:00 noon.
    • Boundaries Training:  Tuesday, April 18th at 10:00am.  RSCs are welcome to telework as this is a Zoom training.

  • Employment Opportunities
    • Sullivan McKinney in Fairfield is a full-time position that we are currently interviewing for... if you have any referrals, please have them send me their resumes directly.
      • Thank you, Tracy and Jaime, for covering!
    • For Future Reference:
      • Our Parkville Site is under construction with an anticipated staffing date of January 2024 ... this will be a part-time position in Hartford, most likely 15 hours a week.   As this will be a new site, there will be significant "start-up" paperwork associated with getting the RSC program up and running.
      • If you know anyone looking for a position next fall/winter, please let me know!
  • Quality Assurance
    • Many of you are already aware, we are trying to survey our residents for the HUD QA each month following your QA meeting versus all at once in the summer.  Please post the Survey Notice, linked HERE, when we reach out to schedule your QA Site visit.
    • You may edit the notice as you see fit for your residents.
    • If you require the surveys in Spanish, please let me know.
  • Housekeeping Items
    • Reasonable Accommodations
      • Verification for a Reasonable Accommodation must be third party verification.  This means that the resident does not assist in obtaining the verification of the disability, the need, or the accommodation/modification.
        • We want to make sure that we are sending verification forms directly to the verifier (doctor or other).  The resident should not be taking the forms to and from the verifier.
        • If this has occurred in the past, do not freak out!  Let's just avoid it going forward.
        • Many verifiers are accepting forms via email versus fax if you inquire when you call.
      • We will have a brief overview/training session on RARMs at the meeting on the 27th if there are any questions.
    • Donated Goods & Food Items
      • Many of our sites are accepting donated food, personal care supplies, and other items for distribution to the residents.
        • Please Note:
          • The long-term storage and manner of distribution is at the discretion of the Property Manager.  They are responsible for the site as a whole and can make any decisions regarding distribution and storage.
          • Donated Items can be stored with Property approval.
          • Donated Food Items must be disposed of if they are expired.
          • The preferred method of distribution is a "Free Table" for a set period of time, after which the Superintendent should dispose of anything leftover.
          • We should not be "picking and choosing" who we provide donations for... it is either a sign-up for a first come-first serve basis.
    • Complete Files
      • We are almost at the Halfway Point through the HUD year... please take a look at your Complete File and double check that you have an appropriate number of files updated.
      • We are noticing a lot of Intakes are not being updated... even if you do not change any information, you need to click "submit" to have the Intake update.
    • Reports
      • Kaja's Team:  Send your reports to Marlene and Jaime
      • Christine's Team:  Send your reports to Marlene only
      • Davenport / Dunbar Staff:  Continue to send Christine your Board Reports
      • Length of Stay Concerns:
        • If mentioning a Length of Stay issue, whether out of state, in a hospital, or in a rehab facility, it is imperative that you inform me whether or not rent is being paid to date.  You can get this information from your PM or OS.  It is the first thing the management team asks when I include Length of Stay on my report.
    • Cost Savings
      • More and More Boards are requesting information regarding SNAP benefits for our residents.  I would like to have you all entering SNAP benefits as Cost Savings for your residents.  You do not need to monitor this information constantly.  Simply enter it now for the resident benefit letters you are aware of and then edit as they bring you updated letters or requests for recertification.
    • Time Off / Calendars
      • For sick time, you must inform me and your Property Manager via text or email.  Informing your Team Lead is optional, I will inform the Team Leads if you do not.
      • For planned time off, ADP request is first and then an Outlook Calendar request is submitted to me, all of the Team Leads, and the Property Manager/Site Staff.

Thank you again for all that you do, for me and for your residents.

Stay well and Stay Safe!
