Happy Belated Birthday to Jackie Palmer (August 24th)!

That Blue Binder:
  • We've made some updates to the Blue Binder (RSC Guidelines and Expectations).  Please click HERE to access, print and replace in your Blue Binder.   

An Idea on Programs: 
  • Those sites that do not have the outdoor or community room space for socially distanced programs can still provide information via a flier and then log that as a program.  For example, a detailed flier with information from the local fire department and links to other resources and input from management on site specific fire prevention protocols can be distributed and logged as a Fire Safety program.  Remember, this isn't just the day-to-day flier, it has to be more detailed with alternate resources and information from outside providers if possible.  

ADP Time-Off Requests and Outlook Calendar Requests:
  • A reminder on time-off requests... in normal times, they go into ADP first, are approved by me and then the calendar request is sent.  
  • Currently, any vacation time off needs to be emailed to Sally, Tammy and myself with where you are going (if anywhere) and if your vacation time will result in an extended absence from site.  If you are not planning on traveling, you can simply state so in your email.  
  • If you are only taking a couple of hours or a half day or less, you can just email me and let me know, you don't have to send to Tammy and Sally.  
  • Some staff have gotten into the habit of writing "Approved in ADP on DATE" in their calendar requests, this really helps me if you are sending a calendar request more than a day after the ADP request.  Remember that I'm receiving time off requests for 28 of you, it's hard to remember who I've approved already!

RSC and Board Reports:
  • Both types of reports need some improvements recently...
  • RSC reports:
    • Unit numbers must be included as this is the information I review with the management team at corporate.  I need to be able to say what unit we're discussing in order to receive feedback on what the property side is doing in regards to a resident issue.
    • We also need "the full picture"... a lot of reports are coming in saying "resident wandered" or "resident found to be noncompliant with lease".  I need to know what the issue was, what was the RSC intervention, what is the current status and is management already aware. 
  • Board Reports:
    • Do NOT put apartment numbers on this report.
    • These need to be more robust in regards to information provided... the benefit and entitlement updates should be more informative and your resident issues are a chance for you to highlight your RSC work.  Even if it is just the "day-to-day" stuff for you, boards like to hear that someone's SNAP benefit was reinstated about being canceled or that half the building has completed their renter's rebate process.  
    • This is not the place to inform board's of lease violations, Kapa notices, housekeeping noncompliance or pest issues.  Those are for the Administrator to report to the board, not the RSC.

  • RARM Reports:
    • Please don't add spaces between entries on the RARM report, we copy and paste your report entries onto a larger, corporate file and it takes time to delete the spaces between entries.  Thank you!

Quality Assurance:
  • All surveys and addendums were sent out this month.  Please let me know if you have not received yours.  Please send one of your signed addendums back to the corporate office as soon as possible.
Looking Forward to September
  • A reminder that September is the last month for Complete File Compliance.  
    • Please review your Complete File (do not forget Non-Participants!) and double check that anyone with anything due between now and 10/1/2020 should be updated by 9/30/2020.  
      • Keep in mind that Non-Participants need to be added to your Complete File in order to appear and that Non-Participants will always show as "incomplete" but must have updates in the first 4 columns.  
    • Charlie, Marlene and I will review all Complete Files on 10/1/2020 and you will receive email notification indicating that you have met your Complete File requirement or that you have not.  
      • If you have not met your Complete File requirement for the first time, you will receive a Supervisory Communication Document indicating this.
      • If you have not met your Complete File requirement for the second time, you will receive a Verbal Warning.
    • Please, please, please review your Complete File.  
  • September Reports are due on Wednesday, September 30th by 12 noon.
  • I will be out of the office on Friday, September 4th and Monday, September 7th is a Holiday!
